Information we collect
- Contact and account information: name, email address, telephone number and account details where you create an account.
- Order and delivery information: products ordered, payment status, delivery/collection choice, delivery address and order history.
- Repair information: device details, reported symptoms, appointment details, repair status, address for mail-in repairs and related communications.
- Sell and trade-in information: device details, condition, photographs, IMEI/serial where supplied, offers and request history.
- Identity and ownership evidence: driving-licence or passport image(s), document type, signature and signed ownership declaration for sell and trade-in requests.
- Payment information: payment status, transaction references and amounts. Card details are handled by our payment provider rather than stored by us as full card data.
- Delivery and tracking information: shipment, carrier and tracking information needed to send or receive devices and orders.
- Marketing preferences: your email address, the consent wording/version, when and how you opted in, and whether you later unsubscribed.
- Website and security information: technical, security and analytics information generated when you use the site where permitted by law and your choices.
Why we use it
Depending on the activity, we use personal information because it is necessary to perform a contract or take steps you request before a contract, to comply with legal obligations, for legitimate interests such as service security, fraud prevention, record keeping and business administration where those interests are not overridden by your rights, or because you have given consent.
We use optional email-marketing information on the basis of your marketing consent where consent is the basis shown to you. Marketing consent is separate from transactional messages needed to fulfil an order, repair, sell or trade-in request.
Identity documents
Photo ID and signatures are collected for sell and trade-in requests to support identity, ownership, fraud-prevention and transaction-record checks. Access is restricted to authorised staff and the supporting service providers needed to operate the secure storage and workflow. We do not publish these documents.
We keep identity evidence only for as long as it is reasonably necessary for those purposes, applicable legal or accounting requirements, dispute handling and the establishment, exercise or defence of legal claims. We review retention and securely delete or anonymise information when it is no longer required. We do not keep identity documents merely because they might be useful in the future.
Who we share information with
We share only the information reasonably needed with service providers that help us run the relevant service, including payment processing, repair/workshop systems, delivery carriers and shipping systems, email delivery, hosting and security providers. We may also disclose information where required by law, to protect legal rights, or to prevent or investigate fraud or crime. We do not sell personal information to advertisers.
International processing
Some technology providers may process information outside the UK. Where UK data-protection law requires safeguards for an international transfer, we require an appropriate lawful transfer mechanism and relevant protections from the provider.
How long we keep information
Retention depends on why the information is held. Transaction and accounting records may need to be kept for legal, tax, warranty, fraud-prevention or dispute purposes. Repair, order and customer-service records are kept only while they remain necessary for those purposes. Marketing consent records are reviewed periodically; if you unsubscribe we may retain a minimal suppression record so we can respect your request not to receive further marketing.
Marketing
We do not make marketing consent a condition of buying from us or booking a service. Where you use our marketing sign-up form, the box is optional and not pre-selected. You can withdraw consent or object to direct marketing at any time by using the unsubscribe method in a marketing email or contacting us at info@thedevicehub.co.uk. Withdrawing marketing consent does not affect service messages we still need to send about an active transaction.
Your rights
Depending on the circumstances, UK data-protection law gives you rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, data portability, and to object to certain processing. Where processing relies on consent, you can withdraw that consent. These rights can be subject to legal conditions and exemptions.
